How to Explain Your Software Idea to a Developer
You do not need technical words. A clear, simple brief gets you better quotes and fewer surprises.
You do not need to know any technical language to brief a developer. You only need to describe your business clearly.
Begin with the problem, not the screens. "We lose orders that come in on WhatsApp" is more useful than "we need an app with five buttons". A good developer may find a simpler answer than the one you imagined.
Then list the people who will use it: customers, staff, managers. For each one, write what they need to do in a sentence or two.
Walk through a normal day from start to finish, then think about what goes wrong. What happens when a customer cancels, a payment fails or a staff member makes a mistake? These cases cost the most time.
Share what you already have: photos of paper forms, Excel sheets and sample reports. Mention your budget range and any real deadline, so that the team can suggest what fits.
Finally, mark each item as must have or nice to have. The first version should hold only the must haves. You can add the rest once real people are using it.
